Contract management software that investigates itself, every night.
Obligations, deadlines, indexation clauses and side letters — 27 agents read along every night at line level. Where manual review structurally reaches 3% coverage, GuardPilot sits at 98.6%. Every signal arrives with evidence and a concrete next step.
Why periodic control fails.
An experienced controller cannot walk through thousands of clauses in full — so it becomes a sample with ~3% coverage. The other 97% only surfaces when something breaks. GuardPilot runs the same checks nightly on 100% of contracts and delivers evidence-backed signals to the right person. No alert fatigue: two independent models must agree before a signal proceeds.
All obligations, deadlines and clauses.
Notice periods & renewal options
Expiry dates and notification windows are extracted at line level from every contract and checked daily. A missed notice means silent renewal on old terms — with monitoring, the trigger arrives on time, with a proposed action attached.
Indexation clauses (CBS/CPI/sector)
Every indexation variant has its own reference date, publication date and application logic. GuardPilot tracks the CBS/CPI releases, links them to the correct contract clause, and signals when a round has not been applied — or was applied late, or against the wrong series.
Escalation and tariff steps
Steps after year 2, year 3, or at volume thresholds are typically written into the contract and then forgotten. The agent maintains a schedule per clause and compares invoiced tariffs with what the contract prescribes at that date.
SLA thresholds & penalty clauses
Contractual SLAs (response time, uptime, resolution time) are linked to operational data and tested per period. A breach is not just reported — the corresponding consequence (credit note, penalty, escalation path) comes with it.
Notification duties & compliance triggers
Obligations to notify on specific events (change of control, sub-contracting, data-processing changes) are read from the contract and linked to real events in mail, ERP and HR systems.
Side letters & supplementary agreements
Separate arrangements outside the master agreement (discounts, extra scope, exceptions) are recognised, linked to the main contract, and taken into account in every check — so they don't disappear when their author leaves.
Nightly cycle, two models, one decision.
Every contract is read line-by-line and linked to execution and invoicing. A triage agent decides whether something warrants attention; an analysis agent builds evidence; a synthesis agent formulates the signal. Two independent models must agree — if they diverge, the case escalates to a human. No black box: every signal carries its trail.
Non-stop in production since autumn 2025.
About contract monitoring.
What is contract monitoring?
Contract monitoring is the continuous tracking of every obligation, deadline, indexation moment and escalation clause in a contract portfolio — not once a year or at renewal, but daily. Without monitoring, deadlines only surface when something goes wrong: a missed notice period, a forgotten indexation round, an SLA penalty that should have been escalated. Automated monitoring turns contracts into a living source rather than an archive.
Why does manual contract monitoring not work?
In our own live operation, experienced controllers structurally reach around 3% coverage on a contract-heavy portfolio. That is not a competence problem — it is a volume problem: one portfolio contains thousands of clauses, dozens of indexation variants and hundreds of due dates. GuardPilot runs the same checks nightly on 100% of the contracts and achieves 98.6% effective coverage. Human review stays where it matters: reviewing the evidence-backed signals.
Which obligations does GuardPilot monitor?
Every contractual trigger that is time- or event-bound: notice periods, renewal options, indexation moments (CBS/CPI/sector), tariff steps after tenure, SLA thresholds, penalty clauses, notification duties, exclusivity windows and side-letter arrangements. Each trigger is extracted from the contract at line level, linked to the current date and to execution/invoicing, and verified by two independent models before a signal is raised.
How does contract monitoring integrate with existing systems?
GuardPilot ingests documents and data — CLM, DMS, ERP, accounting, mail archive — and produces evidence-backed signals routed to the right person through the channels you already use (mail, ticket, Teams/Slack). No migration is needed; the system runs alongside your existing stack. The contract source stays authoritative; GuardPilot adds the monitoring layer that was missing.
